This policy explains how KŌOPE (“KŌOPE,” “we,” “us”) collects, uses, discloses, retains, and protects personal information through this website, the Founders program, the waitlist, and the KŌOPE app.

Accountability and Contact

KŌOPE is responsible for personal information under its control. Our Privacy Officer can be reached at privacy@koopeclub.com. We operate from Ontario, Canada.

Information We Collect

• Waitlist information: email address, optional first name, signup source, consent date, and consent notice version.
• Founders applications: first and last name, email address, city, experience category, application response, review status, internal review notes, and consent records.
• App information, when the app launches: account details, bottle scans, inventory data, preferences, subscription status, and support messages.
• Technical and security data: IP address and request metadata processed transiently by our hosting and security providers to deliver the service, prevent abuse, and diagnose errors. KŌOPE does not store an IP address with new waitlist or Founders records.

How We Use Information

• Operate the waitlist and review Founders applications.
• Send requested launch and product updates where you have expressly consented, and maintain evidence of that consent.
• Send transactional messages about an application or account.
• Provide, secure, troubleshoot, and improve KŌOPE services.
• Meet legal obligations and investigate fraud or misuse.

Consent and Email Choices

Joining the waitlist requires a separate, affirmative choice to receive launch and product emails. You may withdraw that consent at any time using the unsubscribe method in a message or by emailing privacy@koopeclub.com. Withdrawing marketing consent does not prevent necessary transactional or legal communications.

Service Providers and International Processing

We use Cloudflare for hosting, security, and bot protection; Supabase for database hosting; SendGrid for transactional email when enabled; GitHub Pages for static website hosting; and Google Fonts for font delivery. These providers process information only to provide their services to us. Information may be processed outside Canada, including in the United States, where it may be subject to local law and lawful access requests.

Cookies and Analytics

As of the effective date, this website does not set non-essential analytics or advertising cookies. Cloudflare and other infrastructure providers may process essential technical signals for security and delivery. If we add non-essential analytics or advertising technologies, we will update this notice and provide any consent controls required by law.

Data Retention

We keep waitlist information until you unsubscribe or it is no longer needed for the launch purpose. We keep Founders applications while reviewing and administering the program, then delete or de-identify records that are no longer needed, subject to legal, security, and dispute-resolution requirements. Consent and unsubscribe records may be retained as necessary to demonstrate compliance. We periodically review retained records.

Children’s Privacy

KŌOPE is intended for people who are of legal drinking age in their jurisdiction. We do not knowingly collect personal information from anyone below that age. If you believe an underage person provided information, contact privacy@koopeclub.com.

What We Don’t Do

We do not sell your personal information. We do not share your personal information with advertisers.

Data Security

We use access controls, encrypted transport, restricted server-side credentials, database row-level security, bot protection, input validation, and security monitoring appropriate to the information involved. Access to applicant data is limited to authorized administrators. No method of transmission or storage is completely secure.

Your Rights

You may ask whether we hold your personal information and request access, correction, deletion, or withdrawal of consent by contacting privacy@koopeclub.com. We may need to verify your identity. Some information may be retained where required or permitted by law.

Contact our Privacy Officer first at privacy@koopeclub.com. We will investigate and respond to privacy concerns. You may also have the right to contact the Office of the Privacy Commissioner of Canada or your provincial privacy regulator.
